The CRM Client Portal
The client portal is a secure, web-based area where your clients can view quotes, accept proposals, sign agreements, and communicate with your team – all without needing a login.
How Clients Access the Portal
When you send a quote to a client, they receive an email containing a unique link. This link gives them access to the quote on the portal. Each link is tied to a secure token, so no login is required.
Viewing a Quote
On the portal, clients can see:
- The full quote details including all line items and totals
- Optional items they can select or deselect (with live total recalculation)
- The validity date
- Any terms and conditions
Accepting a Quote
When the client is happy with the proposal, they click Accept Quote. If optional items are present, their selections are recorded. What happens next depends on whether an agreement is attached:
- With agreement – the client is taken to the signature page to review and sign the agreement
- Without agreement – the quote is accepted immediately and an order is created
Digital Signature
If an agreement template was attached to the quote:
- The agreement text is displayed with all variables filled in
- The client enters their full name and email address
- They draw their signature using their mouse or finger
- They click Sign & Agree
After signing:
- A signed PDF is generated with the signature and timestamp
- An order is automatically created from the quote
- A deposit invoice is generated if a deposit amount was specified
- A confirmation email with the signed PDF is sent to the client
Asking Questions
Clients can click Ask a Question to send a message about the quote. Messages appear in the CRM with notifications to the deal assignees. Your team can reply from within the CRM, and the client sees responses on the portal. This creates a conversation thread visible to both sides.
Declining a Quote
If the client doesn’t wish to proceed, they can decline the quote. The status is updated in the CRM so you can follow up if needed.
