Running a Weekly Class Schedule

The Classes module lets you define class types, set up recurring weekly schedules, and manage the timetable.

Setting Up Classes

  1. Go to Classes and click Add Class
  2. Define the class:
    • Name – e.g., Yoga, Spin, Pilates
    • Description
    • Duration – Standard session length in minutes
    • Capacity – Max students per session
    • Colour – For the timetable display

Creating a Schedule

Each class can have multiple weekly time slots:

  1. Click Add Schedule on the class detail page
  2. Set the Day of Week, Start Time, and End Time
  3. Assign an Instructor
  4. Select the Location

Rotation Weeks

For businesses that alternate schedules (e.g., Week A/Week B), you can set up multi-week rotations:

  • Configure the number of Rotation Weeks in Settings (1-4)
  • Set a Rotation Start Date
  • Assign each schedule to a specific rotation week
  • The timetable automatically shows the correct week based on the current date

The Timetable View

The weekly timetable displays all scheduled classes in a visual grid:

  • Days across the top, hours down the side
  • Colour-coded by class type
  • Shows instructor name and booking count
  • Click any session to see details, attendees, and management options
  • Navigate between weeks with previous/next buttons

Session Management

  • Cancel a Session – Cancel a single instance of a recurring class (e.g., instructor is sick)
  • Restore a Session – Bring back a cancelled session
  • Add One-Off Session – Add an extra session outside the regular schedule

Overlapping Sessions

When multiple sessions are scheduled at the same time, the timetable displays them side-by-side so you can see all concurrent activity.
