Customising Your Communications

Email templates in the CRM let you create professional, reusable messages for sending quotes, invoices, and other communications to clients.

Template Types

  • Quote – Sent when you email a quote to a client
  • Invoice – Sent when you email an invoice
  • Agreement – Sent when requesting a signature
  • Reminder – For follow-up communications
  • General – For any other purpose

Merge Variables

Templates support merge variables that are automatically replaced with real data when sending:

Client Variables

  • {{client_name}} – Full name
  • {{client_email}} – Email address
  • {{client_company}} – Company name

Business Variables

  • {{business_name}} – Your business name
  • {{business_email}} – Your email
  • {{business_phone}} – Your phone number

Document Variables

  • {{quote_number}}, {{invoice_number}}
  • {{total_amount}}, {{due_date}}
  • {{view_link}} – Link for the client to view the document
