Email & Agreement Templates

Templates let you create reusable email and agreement content with dynamic variables that are automatically replaced with real data when sent.

Email Templates

Go to Templates and create email templates for common communications. Each template has:

  • Name – an internal label for the template
  • Subject Line – the email subject (can include variables)
  • Body – the email content using the rich text editor

Email templates are available when sending emails to clients from the CRM, and when sending quotes and invoices.

Agreement Templates

Agreement templates define the contract text that clients see when signing. Create them in the same Templates section. They use the rich text editor and support the same variables as email templates. See the Digital Agreements & Signatures guide for the full signing workflow.

Available Variables

Insert these placeholders into your templates. They are replaced with real data when the template is used:

  • Client: {client.name}, {client.email}, {client.phone}, {client.company_name}
  • Quote: {quote.number}, {quote.title}, {quote.total}
  • Order: {order.number}, {order.total}
  • Business: {business.name}, {business.email}, {business_phone}
  • Special: {agreement_link} – inserts a link to the agreement signing page

Managing Templates

Edit templates at any time to update the content. Deleting a template does not affect previously sent emails or signed agreements. You can set a default agreement template that is pre-selected when creating quotes.
