Automatically Assign Employees to Shifts

Auto Fill is a powerful feature that automatically assigns available employees to unassigned shift slots, saving you time when building rotas.

How Auto Fill Works

When you have a template with empty (unassigned) slots, Auto Fill will look at your available employees and assign them based on your priority rules. It considers:

  • Employee availability – Not on leave, not already assigned
  • Location assignment – Employees assigned to the relevant location
  • Role/department – Matching the shift requirements
  • Hours balance – How many hours each employee has been scheduled

Priority Settings

You can configure the Auto Fill priority order in Settings > Scheduling:

  • Full-time first – Prioritise full-time employees before casual or part-time
  • Casual first – Fill with casual workers first to protect full-time hours
  • Least hours – Assign to employees with the fewest scheduled hours (promotes even distribution)
  • Most hours – Assign to employees who already have the most hours
  • Random – Randomly assign for variety

Using Auto Fill

  1. Create or apply a template with unassigned slots
  2. Click the Auto Fill button
  3. Review the suggested assignments
  4. Adjust any assignments manually if needed
  5. Publish the rota when ready

Tips

  • Set up employee locations and roles first for the best Auto Fill results
  • Review the results – Auto Fill is a suggestion, not a final decision
  • Use it alongside templates for the fastest rota creation workflow
